Noticeboard: 21 July 2022

This week's noticeboard contains important dates for your diary, the weekly Oracle Cloud update and access to the end of year bulletin from Education and Infrastructure. Wishing you all an enjoyable and well deserved summer break!

Children and Young People’s Plan: Webinars with Sue Harrison

Ahead of the BEP conference in October, Sue Harrison would like to invite school leaders to a webinar at the start of term where she will provide an update on the Children and Young People’s Plan. More information about what will be covered at the webinars will be shared when schools return but for now, we wanted to make you aware of the dates. Two sessions have been arranged so that school leaders can choose the session most convenient for them.

  • Monday 19th September: 2pm – 3pm
  • Tuesday 20th September: 9am – 10am

The webinars will take place on Teams and links will be shared with all school leaders at the start of term.

Oracle Cloud Weekly Update from 1B Team

Thank you for your continued patience as we implement this new system.

  • HR Dashboards – For users who are experiencing issues accessing the dashboard functionality, the technical team have identified an issue related to cache. Please clear the cache on your computer and attempt to access the dashboard again.  If you continue to have any issues after doing this, please email SHRSPortalhelpdesk@birmingham.gov.uk
  • Payroll Costs Report – The programme team understand the importance of payroll reporting for non-cheque book schools. These are being worked on and we apologise for the delay.
  • Performance Management Functionality – We have listened to feedback from schools on the requirements for performance management functionality within Oracle. HR are going to explore the best options for this and update schools in the autumn.
  • Setting Up New Suppliers – To ensure your supplier is paid as quickly as possible, please check the simplified loader VLOOKUP when you contract the supplier. If they do not appear, please ask the supplier to complete a new vendor form and submit the form to vendordata@birmingham.gov.uk. Please do not assume suppliers paid on Voyager will be carried over, as a number became dormant when unpaid for a long period of time. Please allow 30 days for a supplier to be set up on the system. A member of the Data validation team will email you with a supplier reference number when the supplier has been created.
  • Deadlines for the Diary – Please do not input any of the following past these deadlines as they will not and cannot be processed after these dates:
    • September new starters – 5th August
    • Payroll – 7th August 
    • Oracle Time & Labour – 18th August
  • Reconciliation Files – The 1B team continue to work on the provision of reconciliation files. The current test cycle commenced on 15th July and moved to file testing w/c 18th July. We appreciate that this has taken longer than anticipated and confirm that delivery of a fit-for-purpose solution remains one of our key priorities. Please accept our apologies for the continued delay.
  • Internal Billing – Following the decision to continue the suspension of automatic approvals of internal bills until September, we have scheduled drop-in sessions with a technical expert on the 13th and 14th of September, and invites have been sent directly from the 1B team. 
  • Payments (revalidation invoices) – Following a survey of school users on Friday 15th July the weekly sharing of the invoice report has recommenced. This report is for information only, no action is required by a school user from this report unless contacted by the School Payments Team.  The team is investigating all invoices on this report that have not been validated in order of submission to the Simplified Loader.  Please do not resubmit and only email the School Payments Team in an emergency.
  • Pending Worker Form – A reminder for September hiring paperwork - documents should be saved to the comments and attachments sections for this individual and NOT the Document of Record. 
  • Payslips: June Payslips have been processed and should now have arrived with schools. July and August payslips will be distributed throughout the summer break, and not held until September

The majority of users are accessing Oracle and Simplified Loader without issues. However, if you don’t have access or are experiencing access issues, please follow the below:
