Accounts Payable

Accounts Payable provides a Purchase Card service for Birmingham Schools.

Did you know that a recent report by Birmingham Audit recommended the following actions;

  • Schools should reduce cheque use and be making a greater use of purchase cards; and
  • Low value payments should always be paid by purchase card.

Reasons to use our BCC Purchase Cards

  • Our cards are Nat West VISA cards, and are the quick and easy solution to payment;
  • Most suppliers prefer electronic card reimbursement, as opposed to payment by cheque, as it is a guaranteed payment method
  • Suppliers may offer a discount if payment is made by card; as funds normally reach their bank account within five working days

There are a number of additional advantages to using purchase cards for petty cash and other similar purchases:

 Petty Cash  Purchases
 1.  No waiting in lengthy queues at the Post Office.

 1. No need for individual staff
members to use their own cards and wait for reimbursement.

 2. No submission of Petty Cash claims to Accounts Payable.

 2. Purchases can be made either in
person, over the telephone or via
the internet. Online app purchases
specifically require the use of an electronic card.

 3. For convenience, increases to withdrawal limits can be actioned the same day.

 3. Staff can withdraw cash from
ATMs to make purchases, which can be especially useful when travelling
abroad and in emergencies.

 4. Any ‘no charge’ ATM may be used to make withdrawals

 4. There is a full audit trail from the point of withdrawal.
